Introduction

This Privacy Policy describes how LifeCircle ("we," "us," or "our") collects, uses, stores, shares, and protects your personal information when you use our application, website, and services (collectively, the "Service"). By creating an account or using LifeCircle, you agree to the practices described in this policy. This policy applies to all users of LifeCircle, including care plan owners, co-owners, and invited members.

Information We Collect

We collect the following categories of personal information:

• •Account information: your full name, email address, and authentication credentials when you register for an account.
• •Profile information: profile photo, display name, and care plan role assignments you create.
• •Health information: health profiles, medical conditions, allergies, medications, dosages, vitals logs (blood pressure, heart rate, temperature, blood glucose, weight, oxygen saturation), meal logs, sleep logs, bathroom logs, mood logs, activity logs, medical care notes, and care provider details.
• •Emergency information: emergency contacts (names, phone numbers, email addresses, relationships), emergency medical summary data, and advance directive references.
• •Estate and financial information: estate and trust asset descriptions and valuations, income and expense records, bank account registries, check numbers, payee names, estate planning document references (wills, trusts, insurance policies), and uploaded financial documents.
• •End-of-life preferences: burial or cremation preferences, funeral and ceremony wishes, obituary notes, and final wishes.
• •Calendar data: appointment titles, dates, times, locations, provider names, and notes. When you connect Google Calendar, we access your calendar events solely to push appointments and tasks you create within a care plan to your Google Calendar. We do not import events from your Google Calendar into LifeCircle.
• •Collaboration data: care plan membership lists, member roles and permissions, chat messages, journal entries, letters, task assignments, and shared activity within a care plan.
• •Documents you upload: estate planning documents, insurance policies, medical records, photos, and any other files you choose to store in your care plan.
• •Usage and device data: device type, browser type, IP address, app interaction logs, and crash reports used to maintain and improve the Service.

Sensitive Information Notice

LifeCircle is designed to store sensitive categories of personal information including health data, financial data, and end-of-life preferences. You provide this information voluntarily. We do not access, read, or share the specific contents of your care plan data except as necessary to provide the Service to you and your invited care plan members, or as required by law. You control which members of your care plan can view or edit each category of information through configurable permissions.

How We Use Your Information

We use your personal information to:

• •Create and manage your account and authenticate your identity.
• •Provide, operate, and maintain the LifeCircle application and all its features, including health profiles, medication tracking, estate planning, financial registries, daily logs, journals, calendars, and collaboration tools.
• •Sync appointments with connected external calendars (Google Calendar) at your request.
• •Send service-related communications such as care plan invitations, member notifications, chat message alerts, and push notifications for new messages.
• •Generate exported documents (Emergency Summary PDFs, estate reports, journal entry PDFs) from the data you have entered.
• •Maintain and improve the performance, security, reliability, and functionality of the Service.
• •Provide customer support and respond to your inquiries, feedback, and support tickets.
• •Detect, prevent, and address technical issues, fraud, abuse, and security vulnerabilities.
• •Comply with legal obligations and protect the rights, property, and safety of LifeCircle, our users, and others.

How We Share Your Information

We share your information only as described below:

• •With your care plan members: Care plan content (health profiles, medications, appointments, logs, journals, estate records, chat messages) is shared only with the members you invite and according to the permissions you set for each member. You can configure each member's access level (view, edit, or hidden) for each category of information.
• •With service providers: We use third-party service providers that help us operate the app, including cloud hosting providers, email delivery services, calendar synchronization providers, and payment processors. These providers access only the information necessary to perform their services and are bound by confidentiality and security obligations.
• •With payment processors: We use Stripe to process subscription payments. Stripe handles your payment card information securely on their own systems. We do not store, access, or transmit your full card details.
• •For legal compliance: We may disclose information when required by law, court order, subpoena, or government request, or to protect the rights, property, or safety of LifeCircle, our users, or others.
• •We do NOT sell your personal information to advertisers, data brokers, or any third parties.

Third-Party Integrations

LifeCircle integrates with the following third-party services. Each integration accesses only the data described below:

• •Google Calendar API: When you connect your Google Calendar, LifeCircle requests access to your calendar events to push appointments and tasks you create within a care plan to your Google Calendar. The integration is one-directional: LifeCircle creates, updates, and deletes events on your Google Calendar to mirror what you have entered in the app. We do not import, read back, or store events from your Google Calendar. We access only the event fields necessary to create and maintain these mirrored events (title, date, time, location, description). We do not access, store, or share any other data from your Google account. You can disconnect Google Calendar at any time from your care plan settings, which immediately revokes our access and stops all syncing.
• •Stripe: We use Stripe to process subscription payments for Couple and Family plans. Stripe handles your payment card information securely on their own systems. We do not store, access, or transmit your full card details. Stripe's privacy policy is available at stripe.com/privacy.
• •Cloud hosting: We use third-party cloud hosting providers to store your data. These providers are bound by confidentiality and security obligations and access only what is necessary to provide hosting services.
• •Email delivery: We use email delivery services to send invitations, notifications, and support communications. These providers access only the email addresses and message content necessary to deliver emails.

Data Security

We implement the following security measures to protect your information:

• •Your data is encrypted in transit using TLS/SSL and at rest using industry-standard encryption.
• •Access to your data is restricted to authorized personnel and systems on a least-privilege basis.
• •We use row-level security to ensure that care plan data is only accessible to the members you have invited.
• •You decide who in your care plan can view or edit each category of information, and you can revoke access at any time by removing members or adjusting permissions.
• •We regularly review our security practices and update them to address emerging threats.
• •No method of transmission or electronic storage is 100% secure, but we strive to use commercially acceptable means to protect your information.

Data Retention

We retain your information as follows:

• •We retain your data for as long as your account is active or as needed to provide the Service to you and your care plan members.
• •You can export or delete your data at any time. Deleting your account removes your information from active systems; some data may persist briefly in routine encrypted backups before it is permanently cleared.
• •Care plan content shared with other members remains accessible to those members under the permissions you granted until they are removed or the care plan is deleted.
• •When a care plan is deleted, all associated records (health profiles, medications, logs, journals, estate records, appointments, messages) are permanently removed from active systems.
• •We may retain certain information as required by law or as necessary for our legitimate business interests, such as fraud prevention and record-keeping.

Your Privacy Rights

You have the following rights regarding your personal information:

• •Access and export: You can view and download your data at any time using the in-app export tools, including Emergency Summary PDFs, estate reports, and journal entry PDFs.
• •Correct: You can edit your information at any time within the app, including health profiles, medications, contacts, estate records, and personal details.
• •Delete: You can delete individual records, entire care plans, or your full account at any time. Account deletion permanently removes your information from active systems.
• •Revoke access: You can disconnect external calendar integrations (Google Calendar) and remove care plan members at any time.
• •Opt out of communications: You can disable push notifications from your device settings and unsubscribe from non-essential emails.
• •Data portability: You can export your data in a structured format using the in-app export tools.

Legal Basis for Processing

We process your personal data based on: (1) your consent when you create an account and connect integrations like Google Calendar; (2) our legitimate interest in providing, securing, and improving the Service; and (3) our legal obligations to comply with applicable laws and regulations. You can withdraw your consent at any time by deleting your account or disconnecting integrations.

International Data Transfers

Your data is stored and processed on secure servers located in the United States. If you access LifeCircle from outside the United States, please be aware that your data will be transferred to and processed in the United States, where data protection laws may differ from those in your jurisdiction. By using LifeCircle, you consent to this transfer.

Children's Privacy

LifeCircle is not directed to children under 16, and we do not knowingly collect personal information from children under 16. If you believe a child has provided us with personal information, please contact us at lifecircleplanning@gmail.com so we can delete it.

Cookies and Tracking

LifeCircle uses essential cookies and similar technologies to maintain your authentication session and provide core functionality. We do not use advertising cookies or tracking pixels. We do not sell information collected through cookies to third parties.

Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in our practices or legal requirements. If we make material changes, you will be asked to review and accept the updated policy the next time you sign in. We encourage you to review this policy periodically.
